ListingLogic Limited (ListingLogic, we, us or our) respects your privacy and is committed to protecting personal information.
When handling personal information relating to individuals in:
- Australia, we comply with the Privacy Act 1988 (Cth) and the Australian Privacy Principles; and
- New Zealand, we comply with the Privacy Act 2020 and its Information Privacy Principles.
Personal information generally means information about an identified or reasonably identifiable individual.
This policy explains how we collect, hold, use, disclose and protect personal information and how individuals can request access to or correction of their information.
This policy does not limit any rights available under applicable privacy laws.

2. Our role
ListingLogic provides digital marketing, advertising automation, campaign management, analytics and reporting services.
In some circumstances, we collect and manage personal information for our own business purposes. In other circumstances, we process personal information on behalf of clients, including real estate agencies, franchise groups and related organisations.
Where we process information on behalf of a client, that client may determine why and how the information is used. Requests relating to that information may need to be referred to the relevant client.
3. Changes to this policy
We may update this policy periodically by publishing a revised version on our website.
Changes will take effect from the date the revised policy is published. The date shown at the beginning of this policy identifies when it was most recently updated.
4. Personal information we collect
The personal information we collect depends on how an individual interacts with us and may include:
- names and contact details;
- business, agency, office and professional information;
- account, login and user-access information;
- billing, payment and transaction information;
- enquiries, correspondence, complaints and support records;
- property enquiries, inspection activity and stated property interests;
- property, agent and agency information supplied through authorised data feeds;
- advertising, campaign, audience and engagement information;
- website, platform and communication activity;
- device, browser, cookie, IP address and similar technical information;
- information supplied by our clients, partners and authorised integrations;
- information generated or inferred through analytics, artificial intelligence or automated processing; and
- other information an individual provides or authorises us to collect.
We do not intentionally collect sensitive information unless it is reasonably necessary, authorised and permitted by law.
Where practicable, individuals may interact with us anonymously or using a pseudonym. However, we may be unable to provide certain products or services without identifying the individual.
5. How we collect personal information
We may collect personal information:
- directly from an individual when they use our website or services, register an account, submit an enquiry, purchase a product or communicate with us;
- from our clients, including real estate agencies and franchise groups;
- through authorised customer relationship management systems, property-data feeds and technology integrations;
- from advertising, analytics and digital media platforms;

- from third parties where the individual has authorised the collection or it is otherwise permitted by law;
- from publicly available sources; and
- automatically through cookies, pixels, application programming interfaces and similar technologies.
Where reasonably practicable, we collect personal information directly from the individual concerned.
6. How we use personal information

- provide, operate and support our products and services;
- create, manage, distribute, optimise and report on advertising campaigns;
- connect our services with authorised data sources and technology platforms;

We will generally use personal information only for the purpose for which it was collected, a related purpose that would reasonably be expected, or another purpose authorised or permitted by law.
7. Marketing communications
We may use personal information to communicate about products, services, events or opportunities that we believe may be relevant.
Electronic marketing communications will be sent only where authorised or otherwise permitted by law. Individuals may unsubscribe at any time by using the unsubscribe function in the communication or contacting us.
Unsubscribing from marketing communications will not prevent us from sending essential service, security, account or transaction-related communications.
8. Artificial intelligence and automated processing
We may use artificial intelligence, machine learning and other automated technologies to provide, operate and improve our services.
These technologies may be used to:
- generate, adapt or recommend advertising content;
- recommend audiences, placements, timing and campaign settings;
- analyse campaign, enquiry and engagement data;
- identify patterns, trends and likely customer interests;
- generate performance insights and reports;
- improve search and digital discoverability;
- detect fraud, security threats and platform misuse;
- support customer service and internal productivity; and
- develop and improve our products and services.
These activities may involve contact, property-interest, campaign, engagement, technical and inferred information.
We will only use personal information with these technologies where reasonably necessary for our services, authorised by our clients or users, or otherwise permitted by law.
Where appropriate, we apply human oversight and take reasonable steps to assess the accuracy, relevance, security and potential impact of AI-generated outputs.
9. Automated decisions
Some aspects of our services use automated systems to make recommendations or operational decisions about campaign content, targeting, delivery, optimisation and reporting.
Unless we expressly advise otherwise, ListingLogic does not use automated systems to make decisions that produce legal consequences or otherwise significantly affect an individual’s rights or interests without appropriate human involvement.
Individuals may contact us if they have questions about how an automated process has used their personal information or believe an AI-generated inference or output concerning them is inaccurate.
10. AI service providers
We may use approved third-party artificial intelligence and technology providers to process information on our behalf.
We take reasonable steps to assess relevant providers’ privacy, security, retention and data-use practices and to implement appropriate contractual and technical protections.
We do not permit confidential client information or personal information to be used to train publicly available or general-purpose AI models unless:
- the use has been expressly authorised;
- appropriate privacy, security and contractual protections are in place; and
- the use is permitted by applicable law.
Information processed by an AI service provider may be stored or processed outside Australia or New Zealand, as described in the overseas disclosure section of this policy.
11. AI search and digital discovery
Information published through our services, including property listings, agency information, agent profiles and advertising content, may be made available through websites, structured data, advertising platforms, search engines and AI-enabled discovery services.
We may structure, optimise and distribute authorised content to improve its accuracy, attribution and discoverability across traditional search engines, AI-enabled search services and other digital channels.
Once information has been published, independent search engines, AI services and digital platforms may index, summarise, cache, reproduce or otherwise process that information in accordance with their own terms and privacy practices. ListingLogic does not control how independent third parties process publicly available information.
We do not intentionally make private enquiry, customer relationship management or confidential client information publicly available for search or AI discovery unless authorised by the relevant client or individual or permitted by law.
12. Accuracy of AI-generated and inferred information
Information generated or inferred through artificial intelligence, analytics or automated processing may occasionally be incomplete or inaccurate.
We take reasonable steps to ensure that personal information used or produced through our systems is accurate, current, complete, relevant and not misleading for its intended purpose.
Individuals may request access to or correction of personal information about them, including information inferred or generated through automated processing.
13. Disclosure of personal information
We may disclose personal information to:
- our related companies, personnel and authorised contractors;
- clients on whose behalf we provide services;
- technology, hosting, cloud-storage, data, analytics and security providers;
- customer relationship management, property-data and integration providers;
- advertising, search, social media and digital media platforms;
- artificial intelligence and automated-processing providers;
- payment processors, accountants, auditors, insurers and professional advisers;
- credit-reference and debt-collection providers where appropriate;
- regulators, courts, government agencies and law-enforcement authorities where required or permitted by law;
- a purchaser or adviser involved in a proposed sale, merger, financing or restructuring of our business; and
- other parties where authorised by the individual or permitted by law.
We do not disclose personally identifiable information to third parties solely for their independent marketing purposes unless the individual has authorised us to do so or the disclosure is otherwise permitted by law.
14. Overseas storage and disclosure
Some of our technology, hosting, advertising, analytics and service providers may store or process personal information outside Australia or New Zealand.
Overseas recipients are likely to be located in [confirm and insert applicable countries].
Before disclosing personal information overseas, we take reasonable steps required by applicable law to assess the recipient and ensure that appropriate privacy and security protections are in place.
15. Information security and quality management
ListingLogic maintains management systems certified to:
- ISO/IEC 27001, the international standard for information security management systems; and
- ISO 9001, the international standard for quality management systems.
These certifications support our structured approach to information security, risk management, access control, incident response, operational quality and continual improvement.
Our certifications apply within the scope stated on the applicable certificates. Certification does not eliminate all privacy or cybersecurity risk or, by itself, guarantee compliance with applicable privacy laws.
We take reasonable technical, organisational and administrative measures to protect personal information from loss, misuse, interference, unauthorised access, modification and disclosure.
However, no internet transmission or information-storage system can be guaranteed to be completely secure.
If a privacy breach occurs, we will assess and respond to it in accordance with applicable law, including notifying affected individuals and the relevant privacy regulator where required.
16. Retention
We retain personal information only for as long as reasonably necessary to:
- fulfil the purposes for which it was collected;
- provide and support our services;
- meet legal, accounting, security and contractual obligations;
- resolve disputes; and
- protect or enforce our legal rights.
When personal information is no longer required, we take reasonable steps to delete, destroy or de-identify it, subject to applicable legal, contractual and technical limitations.
17. Access, correction and deletion requests
Individuals may request access to the personal information we hold about them or ask us to correct information that is inaccurate, incomplete, out of date or misleading.
Individuals may also ask us to delete their personal information. We will consider deletion requests in accordance with applicable law and our legal, contractual, security and operational obligations. Privacy law does not provide an unrestricted right to deletion in every circumstance.
Before responding to a request, we may ask for information reasonably necessary to verify the individual’s identity and protect their information.
We may refuse or limit a request where permitted by law. If we do, we will generally explain the reason and the available complaint process.
To make a request, email info@listinglogic.com and provide sufficient information for us to identify the relevant records and understand the request.
We will not ordinarily charge for making a request. If applicable law permits us to charge reasonable costs in particular circumstances, we will notify the individual before proceeding.
18. Cookies and similar technologies
We use cookies, pixels and similar technologies to:
- operate and secure our website and platform;
- remember user preferences;
- understand how visitors use our services;
- measure website and campaign performance;
- support advertising, attribution and remarketing; and
- improve our products and customer experience.
Individuals can manage or disable cookies through their browser settings. Disabling certain cookies may affect the operation or availability of some website features.
